Working with tasks in ELMA BPM mobile app
ELMA BPM mobile app allows you to work with three categories of tasks:
In ELMA BPM mobile app you can create only user tasks.
To create a user task:

tap Task on the main page of the application;
-
fill in the required fields on the opened task creation form (fig. 1) and tap Completed.

Users can create tasks in the mobile application without the Internet connection. The created tasks will appear in the executor's task list after connecting to the Internet and synchronizing the application.

Subject * – task subject. Displayed in the Tasks section. This field is required;

Executor * – field for selecting the task executor. You can select several executors. This field is required;
-
End Date * – task end date. This field is required;
-
Comment – description of the created task;
-
Add File – attach a file to the task.
To view the user task, tap on its name in the Tasks or Control section.
The task page contains the top and bottom menus (fig. 2).
The user task content is on two tabs.
The first tab (fig. 2) displays the task description: end date, author, description (if it was specified), priority, attached files. To open this tab, tap in the bottom menu of the task page.
Top menu buttons:

Return to the previous section.

Change the task status to Completed. In the opened dialog box, you can add a comment or a file. To complete the task, tap Completed. This button is available to users even if the mobile device is offline. The task completion information will be available in the system after connecting to the Internet and synchronizing the application.

Change the task status to Cannot Execute. In the opened dialog box, you can add a comment or a file. To complete the task, tap Cannot Execute. This button is available to users even if the mobile device is offline.

Open the drop down menu, which allows you to:

Add Comment – add a comment to the task. In the opened dialog box, add a comment or a file and tap Completed.

Ask Question – add a question on the task. In the opened dialog box, select a user in the To * field and enter the text of the question in the Description * field. You can attach a file, if necessary.

Reassign – reassign the task to another user. In the opened dialog box, select the new executor, start and end dates, add a comment and tap Completed.

Open in Web - open the task page in ELMA Web Application.

Start Execution - change the task status to Execution Started. In the opened dialog box, you can add a comment or a file.
You can perform these actions even when your mobile device is offline. Once the connection is established and data is synchronized, all the actions performed will be visible in the system.

Bottom menu buttons:

Return to the previous section.

Open the tab with the task description (fig. 2).

Open the tab with the task information (fig. 3).
|
|
Preview the file, attached to the task. This button is displayed only if a file is attached to the task.
|
Approval/acquaintance task page
Approval/acquaintance task page is similar to the user task page, but has some specifics (fig. 4).

1. Depending on the task type (approval/acquaintance), the page includes the following buttons:
Top menu buttons of the approval task:

Complete the task with the Approved status. You can add a comment in the opened dialog box. To complete the task, tap Approved.
|

Complete the task with the Rejected status. You can add a comment in the opened dialog box. To complete the task, tap Rejected.
|
Top menu buttons of the acquaintance task:
|
Complete the acquaintance task. When you tap this button, a form opens, where you can add a comment. To complete the task, tap Acquainted.
|
These button are available to users even if the mobile device is offline. Changed task statuses will be displayed in the system after the mobile device is connected to the Internet and the application is synchronized.
2. There are no Completed and Cannot Execute buttons.
Consideration task page
The consideration task page is similar to the user task page, but it has some specifics (fig. 5).

1. Top menu buttons:

When you click this button, the consideration task will be completed. If a decision has not been entered before clicking on this button, a warning window will open (Figure 6). To enter the decision, you must click on the Go to Decision button.

If no decision based tasks have been created, a window opens (figure 7) with two options for further actions:

Confirm the decision and stop processing the document - to complete the consideration task without creating decision based tasks;

You can assign an employee for creating Decision Tasks - the document will be sent to the user who will create decision based tasks.
After selecting an action, click the Save and Submit button in the upper left corner of the window.

2. There are no Completed and Cannot Execute buttons.
3. The bottom menu includes the button. It is similar to the Decision button in the top menu.
4. A tab with the decision information (fig. 8).

Enter your decision on the document in the Enter a Decision unit. To create a decision based task, tap Create Task. When you tap on this button, a form for creating a user task will open, where you have to fill in the required fields and tap Completed. All the decision based tasks are displayed below the Create Task button (fig. 9).

The process task page is similar to the user task page, but it has some specifics (fig. 10).

1. The task information area displays different fields, depending on the business process. Some fields only provide information, and the others require filling in.
2. The top menu contains the buttons for completing the task. The name of the buttons depends on the process.
3. The tab with the task information displays information on the process: instance name, process name, start date, initiator, responsible (fig. 11).

4. Below the process information unit, you can find the process map button. When you click on this button, the process map opens. The map is not available when the mobile device is offline.
Some tasks can not be displayed in the ELMA BPM mobile application (if they use the tools of additional ELMA modules). On the task page in the mobile application you will see a respective warning (figure 12) and a button to open the task in ELMA Web Application.
