Notification

A Notification is an operation that is used to inform users in Web Application on the process status or important process events. Users will see notifications in the Messages section in Web Application. The system can also send notifications to the email address specified in the user’s profile, if the feature is enabled in the global settings. To open the Notification settings, double-click on the Notification element on the graphical model or select Settings in the context menu.

Name — A notification name that a user will see in the graphic model, process documentation, policies and in the header of the settings window. The Notification name is also shown on the transition button in Web Application if the incoming connector name is not specified in the graphic model.

Description — A notification description that a user will see in the process documentation and policies.

Operation Type — Shows the selected activity type. The Change Type button allows you to select any available operation type: a User Task, Script Activity, Manual Execution, Notification, Send Message, Receive Message.

Change Marker — Click this button to specify the execution condition for the activity. On the graphic model the activity will be depicted with the selected marker, at the same time a new tab will appear in the activity settings window. To learn more about the activity markers, see the respective Help section.
Here you can configure a notification header and body.

Subject - A notification subject is used as a notification header in the Messages section in Web Application, and the subject of the email sent to the address, specifies specified in the user profile, if the feature is enabled in the global settings.

Message Text - A notification body that contains all the necessary information, which needs to be conveyed to a user. The text in this field will be displayed in the body of the message in the Messages section in Web Application, unless you type a Short Text in the respective field (see below). It will also be displayed in the subject of the email sent to the address, specifies specified in the user profile, if the feature is enabled in the global settings.

URL - When a user clicks the notification subject in the Messages section in Web Application they will follow this hyperlink. For example, this field may contain a link to the relevant document if the notification is referencing it. If this field is not specified, the message header will not contain a hyperlink.

Short text - A short message text that a user will see in the Messages section instead of the message body. If you fill in this field, the full message text will be sent to the email address specified in the user profile.

Click the Data button to insert the process context variables in the subject template, message text, URL and short text fields. When you click this button, a drop-down list opens (Fig. 3). To insert a variable, double-click on its name in the list. The variable is inserted in the place where the cursor is located. The context variable is inserted as {$Variable name}.
Attached Files Tab
On this tab, you can specify variables that store files to be sent.
The list of context variables on this tab shows the context variables of the following types: "Document (Object)", "Attached files(Object)", "File". Make sure that the variable values are filled in before the notification is sent.

Notification Recipients Tab
On this tab you can specify users who will receive notification.
Click the Add button to select:

Current Executor - A notification will be sent to the executor of the tasks placed in the same swimlane, where the notification is located (fig. 5),

Context Variable - A context variable will define the notification recipient. In the drop-down list, select a user type variable. If the variable is not specified, none of the users will receive the notification.
