Filter Folder


Filter folder is a folder, which displays the documents, according to a filter. Note, that the documents, displayed in this folder, have different parent folder. Filter folders only group documents according to filters. You can set the filter only for documents. Filter folder is marked with the icon in the folder tree and on the parent folder page (fig. 1).

Filter folders can be nested and created only in the folder, to which the user has "Edit" permissions. Note, that the filters of the nested filter folders are independent of each other.

Create Filter Folder

 
There are two ways to create a filter folder.
By using the Save as Filter button on the advanced search form (fig. 2) in a similar ways as creating a filter. The only difference is that in the Save filter window there is the Parent folder field. By default, it features the path to My Documents of the current user. You can change the parent folder and select another folder, for which the current user has "Edit" permissions or higher.

By clicking Folder - Create Filter Folder in the top menu of the folder where you want to create a nested filter folder (fig. 2). This button is available if the current user has "Edit" permissions.

On the opened page (fig. 3) fill in the Filter, Document, Search by Columns and Column Settings tabs and click Save.

"Filter" Tab
An example of the Filter tab is in fig. 4.
Name* – the name of the filter folder that you are creating. This is a required field.
Icon – you can change the standard icon , if necessary..
Parent folder* –  the folder that will store the created filter-folder. This is a required field. By default, the current folder is selected. You can change the parent folder and specify another folder, to which the current user has "Edit" permissions or higher.
Disable access permissions:
 
Yes – the filter folder will display all relevant documents. The user will be able to view or edit the documents only if he or she has corresponding access permissions).
 
No – the filter folder will display only those documents for which the current user has "View/Load" access permissions or higher. Be default, the Disable access permissions option is set to No.
Search when Opening:
 
Yes – automatically search and display the documents when opening the filter folder.
 
No – to search and display documents, use the quick search.
This feature is useful if you do not need to automatically display documents when opening the folder.
Expand advanced search when opening the filter - enable this option if you want the advanced to search form to open when a user opens the fitler-folder.
EQL Search - allows you to search by using a number of conditions written in the EQL language.
In the Search Values section you can specify the fields for filtering documents in this folder. These fields are similar to those of the advanced document search.

To move an attribute from the Available Elements to the Selected Elements and back, double click on the required attribute or use drag-and-drop.
The selected fields will be displayed on the document advanced search in the filter folder (fig. 8).

"Table Column Settings" tab

Use Default Settings - by default, this option is checked. It means that users will not be able to manually select the table columns. Instead, the default Name, Author and Date Created columns will be used. Uncheck it if you want the users to select the columns manually.
The selected columns will be displayed in the table of the filter folder. The document information will be displayed according to the columns. To learn more, see the respective Help section.
To save all the changes and create a filter folder, click Save in the toolbar. After saving the changes, the created filter folder will be opened (fig. 8).

Edit Filter Folder

Editing a filter folder includes changing its name and settings.
To edit a filter folder, open it and click Actions – Edit in the toolbar (fig. 10). This button is available if the current user has "Edit" permissions.

Make the required changes on the opened page and click Save in the top menu.

Delete Filter Folder

You can delete any filter folders (with documents or empty).
To delete a filter folder, open it and click Actions – Delete Folder in the toolbar (fig. 11). This button is available if the current user has "Edit" permissions.

To confirm deleting the filter folder, click Delete in the opened dialog box (fig. 12). The filter folder will be deleted. Note, that deleting a filter folder does not affect the documents in it.
