Complex Tasks

If the Projects+ application is activated you can use Complex tasks. They allow you to assign a list of subtasks that need to be completed to achieve expected results. In addition, a complex task can have more than one executor.
You can create a complex task, by adding a special activity in the Designer. Then, the user will receive this task at a particular stage of an active process. The complex task will be displayed in the My Tasks list of the Tasks section (Fig. 1). You can set the name of the complex task in the Designer, when creating a process.

To manage the list of subtasks of a complex task, open it and click In Work (Fig. 2).
It will open a window, where you can add comments and files (Fig. 3). After entering the required information, click In Work.

After that, the complex task name will be colored green in My Tasks list (Fig. 4).

Adding a subtask to a complex task

Clicking on the name of a task will open its page. If you click , you will be able to add a subtask (Fig. 5).

Go to Administration - Access Settings – Objects to configure access to view and edit a specific object.
After that, click Add. If there is no need to add a task, click Cancel.
After all the required tasks are added, click Save in the toolbar.

Managing complex tasks

A complex task is displayed in My Tasks list.
Once the subtasks are created, the user can monitor their execution:
Overdue subtasks are red (Fig. 6). If a task is completed it is marked with the strike-through font.
In the Completed column, you can mark the completed tasks (Fig.6). There are buttons to the right of each tasks:
 - edit the task. This button opens the task editing form where you can change the data.
 - delete the task.
To complete a complex task, click on the transition button. A complex task is considered to be completed, only if all its subtasks are completed. If some of the subtasks are not completed, but you need to complete the complex task, a confirmation dialog box will appear after clicking on the transition button.
Click Yes to mark all the tasks of the complex task as completed. The complex task will be considered completed.
If you click No, the task will stay active.

Toolbar buttons

Save - saves the changes in the subtasks list.
Cancel - allows returning to the task list without saving the changes.
Clicking this button will open the process map in a new browser tab. This option is available to the users with required permissions (these permissions can be granted in the View tasks list section).
This button allows completing the task. The drop-down menu offers different task completion options. The set of these buttons corresponds to the task transitions defined in the process graphical model. You need to select one of the options to complete the task.
Reassign - allows reassigning the task to another executor. By default, this feature is available to the author, executor and approver of the task. But these permissions can be configured in the Reassign Tasks section.
Ask question - add a question to the task.
Add comment - add a comment to the task.
Add time report report the time spent on this task.
  • Download attachments - you can download the files attached to the task (including the files attached in a comment).
Create a process improvement proposal. This option is available to the users with permissions to improve business processes. These permissions can be assigned in Allow to start improvement processes.
