Approving Documents

In ELMA, documents can be approved with digital signature or without it. To approve documents a user needs Edit permissions to the document or higher.

Approving a document with digital signature

To approve a document with a digital signature, click Approve/Reject in the top menu of the document approval task (fig. 1).

In the opened dialog box (fig. 2) check the Sign attributes with digital signature and/or Sign content with digital signature box and click Approved/Rejected. When you are using an internal encryption provider, only the document attributes can be signed. If necessary, you can add a time report and a comment in this window.

If an external encryption provider is selected in the Digital Signature Settings, then the dialog box will contain the Sign Content with Digital Signature box. When you check this box, the document version is signed. If both boxes are checked, the document attributes and version will be signed.

The opened dialog box (fig. 4) displays the signature text and the field for selecting a signature certificate. To complete signing, click Sign.

The information that the document has been approved with a digital signature is displayed on the General Information tab and Approval tab of the document page.

When you click on the information on the digital signature (user name in the Approved section), a dialog box will open (fig. 6) with information on the certificate.

Document acquaintance with digital signature is similar to the document approval.
