Registration Task

The user, to whom the document is sent for registration is assigned with the registration task. The task name is the subject that was specified when sending the document for registration (fig. 1).

When the executor opens the task the document registration procedure starts (fig. 1).
It includes two steps.
 Preparing for registration. At this step you have to select a registration option if there are different options configured for this document type (fig. 2).

Or go to registration with arbitrary parameters by clicking the link on the form (fig. 3)

If you select  registration with arbitrary parameters, you have to fill out the registration form where you specify: the docflow, registration office and category (fig. 4). This form is displayed if the document sent for registration may be registered in different document flows, registration offices and categories of the classification scheme, while no registration variants are configured for this document type.

On the registration task form, you can see icons that allow you to perform the following actions with the document:
These buttons are also available on the document registration page (fig. 5).
After filling in all the fields, click Go to registration. The document registration page will open (fig. 5).
If only one set of registration parameters (document flowregistration officecategory) is available for the registered document type (e.g. the document type can be registered in only one category and/or only one record card is configured for the document type), then the form for selecting registration variants (fig. 1) will not be displayed. When the registration task executor opens the task, the document registration task will be displayed (fig. 5).

If the system administrator has added a guide on document registration on the Description tab of the Record Card page in ELMA Designer, then the button will be displayed to the right of the registration task name (fig. 6). Clicking this button will open the web document with the guide on registration of this type of documents.

The document registration form includes the following tabs:
1. Common. This tab contains the document registration form, where you can enter the document registration number if auto numeration is not configured, and change the registration date (the current date is used by default).
2. Records Classification Scheme. This tab displays the document registration parameters in the current records classification scheme of the company (fig. 6). These parameters were selected at the previous step.

3. About Task. This tab is similar to the About Task tab of a user task.
4. History. This tab displays all the actions available for this task.

Top menu buttons

Start execution of the task. In the opened dialog box, you can add a comment or upload a file.
  • Reassign – reassign the task to another user.
  • Reschedule – reschedule the end date of the task. The task author and executor will receive a notification about it.
  • Ask Question – ask a question on the task.
  • Add Comment – add a comment on the task.
  • Download attachments - you can download the files attached to the task (including the files attached in a comment).
Complete the registration procedure.
To complete the document registration, click Register. The task will be closed and the document will be registered.
After completing registration, ELMA will show a notification about successful registration of the document and offer further actions: send for approval, send for consideration, send for acquaintance, start a routing process and creating a task with the document attached. To select one of the actions, click on its name (fig. 7).

There are three ways to close the form:
1. Click Do not perform any actions.
2. Click a grey cross in the top right corner.
3. Click Close in the bottom right corner.
If you do not need this form to open, check the Do not show this window again box before closing. The system administrator can also configure this form in Administration – Document Management - "Document Management" section settings – Records Management Settings.
