Process Instance Page

Process instance page shows all the information about a certain process instance. You will find a toolbar at the top of the page, and the information form below it (Fig. 1), which contains:

Process name and version number;
Process instance;
Start date;
Status;
Initiator;
Responsible.

Below the information area you will see five tabs that contain detailed information about the process instance:

Context Variable List

This tab shows the list of context variables of the process (Fig. 2). It can be configured in the Designer when creating a process.

The system administrator, supervisors and process owners can see all the context variables. Process participants - context variables of the process task that have to be executed. If you want participants to see more variables you have to set visibility of variables in the Designer, i.e. select the process variables that will be seen by all the participants.

During the execution of an instance, context variable values can be filled in at different stages. However, this tab shows the list of variables available to the user regardless of the instance stage. This is especially convenient if you need to get the information on several parameters of a process instance – these values are shown in one place.

Active Tasks, Operations, Sub-Processes

This tab displays the following process instance items (Fig. 3):

pending tasks
tasks being reviewed
activities
sub-processes

If you have initiator access permissions, you can open a particular process task page or sub-process instance page. Please note that if a decision-based task created during the course of the process has been completed and is being reviewed, you will be taken to the task control page. A user who does not have initiator permissions but has permissions to view the list of tasks, can see all the process tasks. An administrator can assign permissions to access a specific process in the Task List section.

On this tab you can change planned timer time or interrupt timers. To do so, click on the context menu button

next to a timer name and select the required action (fig. 4). Note, that if a timer execution error occurs, only the Interrupt Timer option will be available.

If you have access to work with the execution queue, the Execution queue unit will be displayed on this tab (fig. 5), which allows monitoring operations that are currently being processed as well as the execution errors. In this unit, you can force start the execution of a process operation and view the full error text, if any.

History

This tab displays the execution history: the actions taken during the execution, as well as added questions and comments (Fig. 6). You can filter this information by clicking on respective buttons: Comments, Questions and Actions. Clicking on these buttons will make the options active/inactive. If the button is highlighted orange, it means that it is active and the respective information is displayed below. If the button is inactive, the information is hidden.

History (Table)

This tab displays all the tasks related to the process instance and respective information (Fig. 7).

Tasks status can be determined by:

the font of the task name;
The status table column.

You can find the font indication of statuses on the Task List page.

Participants

This tab is shown on the process instance page, if the user is a participant of this process. The tab displays the participants of this process instance (Fig. 8). The list of process participants can be defined in the Designer on the Responsibility matrix tab, when editing the process. Apart from that, when certain settings are configured in ELMA Designer, you can see participants on internal and external sub-processes in italics. You can assign access to processes in the My Processes section.

Apart from participants specified in the access permissions section you can also add other participants to this process instance.

- add user.

- delete a participant from the list.

Added participants will be able to see this process instance in the My Processes section and monitor the information.

Toolbar buttons

	Return to the process page.
	Add a comment to the process instance. Comments are displayed on the History tab (Fig. 7).
	Add a question on the process instance. Questions are displayed on the History tab (Fig. 7).
	View the process map. It will open in a new browser tab. This button is only available to the users with permissions to view the map of this process. Permissions can be assigned on the access to processes page in the Task List section.
	Complete the process instance. By default, the owner of the process and the initiator of the process instance have permissions to interrupt a process instance. This button is also available to the users, who have permissions to interrupt the process. The permissions can be assigned on the access to processes page in the Completing process section.
	Edit the process instance and related tasks. By default, the owner of the process and the user responsible for the process can edit the data. This button is available to users with permissions to change the process. The permissions can be assigned on the access to processes page in the Edit process data section.
