Organizational Structure Element's Usage Search


Elements of a published organizational structure are used by different ELMA applications. If you delete an element, the functions of these applications may be altered.
ELMA allows you to check if any ELMA application is using a certain organizational structure element.
To see the list of applications where the element is used, open its settings window (double left-click on the element or right-click to open the context menu and select Settings). In the settings window, open the Usage tab (Fig. 1). On this tab, click the Search for usage button.

In case of Annotations, Groups and elements that are not published, searching for usage is not available, and the Usage tab looks as follows (Fig. 2):

After you click the Search for usage button, you will see a list of system applications that are currently using the element:

List Section
Description
Business Processes:
This part of the list contains the names of the processes, in which this organizational structure item is used in:
  • Swimlanes – this section of the list contains the names of the swimlanes, where the element is specified as the executor;
  • Responsibility Matrix – this section of the list contains the names of the processes, where the element is the owner or supervisor in the responsibility matrix. Elements are added to the responsibility matrix manually in ELMA Designer;
  • Process Context – this section of the list contains information about started and completed process instances where the element is selected as a context variable.
Users with this job position:
This section displays the users who are appointed to this job position (Fig. 5).
KPI Management:
  • The Goal Tree section displays the goals where the element is selected as the responsible;
  • The KPI section displays information about the KPIs, where the element in included in responsibility matrices;
  • The Performance Martix Template Settings section displays information about the templates where the element is specified as the supervisor, executor, approver, SMART-task approver, or SMART-task supervisor.
Document Management:
  • The All Document Types section provides information about the document types, where the element is specified as an attribute;
  • The Record Card section provides information about the number and types of record cards, where the element is specified as an attribute;
