Controlling Performance Matrix

When the task is completed or at the end of the month, the executor enters the information about the completion of SMART tasks. Data on the actual values of the KPIs are collected according to the settings.
After filling in the data in the performance matrix, it can be sent for control so that the supervisor can check the completion of SMART tasks and get information about reaching the planned values of KPIs.
This feature is only available when the appropriate settings are made in the performance matrix template. To configure the settings open Administration – KPIs – Performance Matrix Templates Settings. In the required template, enable the control option by checking the Control box. Read more about this setting in the respective Help section.

Sending performance matrix for control

To send a performance matrix for control, click Send for Control in the upper menu of the Performance Matrix page (fig.1). If both Send for Approval and Send for Control were enabled while configuring the performance matrix template, this button will be displayed only after the approval.

In the emerged form (fig. 2), the approver’s name is inserted automatically according to the performance matrix template. If necessary, select another approver from the drop-down list.
Fill in the required fields and click Send to continue. This dialog box is the same as the dialog box for sending a performance matrix for approval.

Once the matrix is sent for control, the user receives the respective notification (fig. 3) which shows the approver’s name and the current status.

Once the matrix is controlled, a respective notification will appear in the matrix page (fig. 4).

If a performance matrix hasn’t been approved, a notification on rejection will appear in the history tab of the performance matrix page (fig. 5). A user will have to take ad hoc actions and send the performance matrix for control one more time.

Performance matrix control task

A user selected as a supervisor of the performance matrix, is assigned a control task which contains the attached matrix. The task page is as follows (fig. 6):

The About Task tab shows task deadlines and the attached performance matrix. The supervisor is not able to make any changes here and can only go to the KPIs pages.
The task page has the same top menu as the matrix approval task page.
