Co-executors and Observers


In ELMA, you can select co-executors for a task. Co-executor – is a user, who participates in the task execution, but is not responsible for it. Co-executors have permissions to complete the task, if the settings allow it.
All the tasks where the current user acts as a co-executor are shown in the the Co-Execution subsection in Tasks (fig. 1). This subsection appears in the left menu when a user is assigned at least one task for co-execution. If the current user has no tasks for co-execution, this subsection is not shown in the left menu of the page.

Apart from that, all the tasks where the current user acts as a co-executor are shown in the Tasks (co-executor) portlet and in the Co-executor filter in Tasks – Incoming (fig. 2).

Observer – is a user, who observes the task progress and is subscribed to the task.

Selecting co-executors and observers

To select task co-executors and/or observers, click Co-executors on the task page when creating or editing a task. The Co-executors and Observers fields will be added to the page (fig. 3), where you can select users to be co-executors and/or observers.

Task co-executors and observers receive notifications on the task. To open this task page, these users can click on the notification name in the Messages section.
If the task observer can receive email notification on the task status, the email header will have an "observation" mark.
To quickly search tasks, for which the user is a co-executor, use a filter in the Task section. When you use advanced search, select the current user in the Co-executor field and click Search. To learn more about the advanced search and creating filters, see the respective Help section.

Task Subscription

ELMA users can subscribe to a task. This task will not be available in the Tasks section, but the subscribers will receive notification on the task in the Messages section.
Users can subscribe to a task in several ways.
1. When creating or editing a task. To select observers (subscribers) click Co-executors on the task page when creating or editing the task. The page will display the Observers field (fig. 4), where you can select users to be the task observers. The selected users will not see this task in the Tasks section, but they can open it by clicking its name in the Messages section.
