Process Task


During a process instance executions, tasks are assigned to users. Completing these tasks allows completing the process instance and achieving the desired result.
Process tasks in the user's tasks list (Fig.1) have the icon.

To open a task page, click on its name (Fig. 2). At the top of the process task page is the task menu. Below is the main process information:

The task information area includes two tabs:
The Main Page tab displays the data, required for the task execution, i.e. process context variables. Process task view form in Web Application depends on the task settings, and the context variables.
The History tab is similar to that of a user task (Fig. 3).  The only difference is that it displays information that the task has been reassigned according to the active substitution, if any.

If some users are deleted or locked and the process task cannot find its executor, it is reassigned to the user, responsible for the process instance.

Process task actions

To complete a process task or apply actions to it, use the toolbar buttons.
Complete the task. The drop down menu of this button contains the transition buttons: task completion options, which depend on the process graphic model. Select one of the options to complete the task. Note that if at least one required field on the Main page tab is left empty, the user will be directed to the first required field that has to be filled in. When all the required fields are filled in, click Completed and select an option for completing the task.
By clicking this button, the task executor can specify the task execution start date. The executor can add a comment in the opened dialog box. This step is optional.
Save - save the changes in the task, without completing it. In particular, the values of context variables will be saved. The action is also available in specific routing process tasks.
Reassign - reassign the task to another user. The task author, executor and approver have this option. But you can provide other users with this option, by configuring access permissions.
Add Time Report - submit a time report on the task.
Note that before you Reassign, Ask Question, Add Comment or Add Time Report you have to save the values of context variables by clicking Save. Otherwise, when the page is refreshed, all the unsaved values of context variables will be reset
Download attachments - download files attached to the task, including the ones added in a comment.
When you click this button, the process map opens in a new browser tab. This button is available to the users with permissions to view the tasks list.
Create a process improvement proposal. This button is available to the users with permissions to improve business processes.
Reassigning a task
You can reassign a process task to another user. To do so, click Actions - Reassign in the toolbar of the task page.
You can select the new task executor in the opened dialog box (Fig. 4) and change the task parameters:
Next, click Reassign Task, to assign the task to the selected user.
