Access to Documents


You can assign access to documents if you have Manage Permissions access level. To grant access permissions to a user open the document page and select the Access tab (Fig. 1). On this tab, set the required access permissions and click under the table.

Inherit parent folder permissions – allows you to add access permissions of the parent folder to this document.
This tab is divided into units.
Parent folder permissions unit displays users with their permissions to this folder. Access permissions cannot be changed in this unit. This unit is displayed only when the Inherit parent folder permissions box is checked.
Extra Permissions unit allows assigning additional access permissions for the current document. Click . In the opened dialog box, select the required objects and click on Select. The objects will be added to the Extra permissions unit of the Access tab. Check the boxes with the required access levels and click .
To delete an object, click .
Note, that if you have View/Load or Edit access level, you can only view the Access tab (Fig. 2).

When moving documents from one folder to another, access permissions in the Extra Permissions unit remain unchanged. Only the permissions inherited from the parent folder change.
You can add default access permissions when configuring a document type. In this case, these permissions will be added to documents of this type along with parent folder permissions. General settings are configured in Administration – Document Management – Document Types, General Settings tab.
If encryption is enabled in ELMA Designer, you will be able to restrict access to a document using the Encrypt Confidential Document link (Fig.3). For more information see the respective Help section.
