Folders


In ELMA, you can organize documents into folders.
By default, there are several folders in the document storage.
 
1. Shared Folders – a parent folder with one or several document folders, available to all the ELMA users. By default, only the system administrator can add documents and folders to this folder. The administrator assigns the folder access permissions with the Actions - Configure Access button in the toolbar. Any user with the access permissions can create folders in this folder. Note, that access to nested folders can be configured separately from the parent folder.
2. Archive – a folder that contains all the ELMA documents, sent to archive by the users. By default, only the system administrator can view this folder and its contents. The administrator assigns the folder access permissions with the Actions - Configure Access button in the toolbar. Any user with the access permissions can view this folder and put documents in it. To learn more about the document archive, see the respective Help section.
3. My Documents – a folder with the current user documents. By default, the current user, the system administrator and the user superiors have access to this folder. If necessary, the user can assign access to this folder to other users. When you create a document, the My Documents folder is used as the parent folder by default.

Create Folder

By default, a nested folder inherits permissions of the parent folder. If necessary. the folder author can assign access to the folder and its nested folders to other users. See the respective Help section.
To create a folder, you have to have at least "Edit" permissions to the parent folder. Open the folder, in which you want to create a folder and click Folder or Folder - Create Folder in the toolbar (fig. 1).

Enter the folder name in the opened dialog box (fig. 2) and click Save.

Edit Folder

To edit a folder, open it and click Actions - Edit Folder in the toolbar (fig. 3). By default, this button is available to the author, system administrator and the users with "Edit" permissions.

Enter the new folder name and click Save.

Delete Folder

In ELMA, only empty folders, without documents, folders or links, can be deleted.
To delete a folder, open it, and click Actions - Delete Folder in the toolbar (fig. 4). By default, this button is available to the author, system administrator and the users with "Edit" permissions.

To confirm deleting, click Delete in the opened dialog box (fig. 5). The folder will be deleted from the system.

When you try deleting a nonempty folder, the system will show a notification (fig. 6) that the folder cannot be deleted.

In this case, open the folder, select all the objects and click Selected – Move Items in the toolbar. See the respective Help section.
